A Rotterdam postal address for your KVK registration
The KVK's register records a visiting and a postal address for each establishment (art. 11 Hrw 2007); every business needs the visiting address. A virtueel kantoor (virtual office), says the KVK, offers contracts "that you can use as a postal address". Ours is a virtual address in the Netherlands, in Rotterdam; the same service in the capital is our registered office in Amsterdam.
It serves a sole trader or freelancer whose home stays the visiting address, VOF partners, the founders of a first BV, whose notary usually files the registration, and anyone moving to the Netherlands as an entrepreneur. A sole trader or VOF partner registers with the KVK themselves.

A client who takes our virtual office does not take bookkeeping, annual accounts, tax-return work, legal advice or assistance, help with a registration, a company, a permit or a bank account, or the recruitment of a director from NetherStart Partners or its group. Which address goes where in the register
The KVK's own tests (updated 16 September 2026) apply to anyone doing business in the Netherlands. The KVK decides each registration; our contract promises the postal address.

How the process works
The order a newcomer follows, and who does each step.
Decide what the address will be in the register
(you). Postal only is the normal case; a workspace is on request. A BRP home address as visiting address needs no proof. No official time.
Our client checks
(we check, you supply). Your identity, a company's UBO and the purpose. No agreement without them. No official time is published.
The service contract, signed by both parties
(you and us). It is your proof of use for the KVK. No official time; no speed promise.
BSN and DigiD, if you need them
(you). Under 4 months, an RNI desk (non-EU nationals: Breda or Venlo); longer, the municipality. Abroad, DigiD comes by code, not by letter. No processing time is published.
The KVK registration
(you; for a BV, usually the notary). The Dutch online form (an English-Dutch PDF helps), then, where the KVK asks, a DigiD-booked appointment at Blaak 40 in Rotterdam or any KVK office. One week either side of the start (a BV: within one week); booking up to 8 weeks ahead.
The VAT number
(the Belastingdienst). Sent after the KVK registration, with no application. Within 10 workdays.
Mail handling starts
(us). Reception work only. No official time.
Later changes
(you). A move goes in My KVK, free, with the new proof of use; a private home move goes to the BRP first. Within one week.
We take no part in steps 4 to 6: a client who takes our address takes no registration help from us.

We tell you what the KVK checks, sell the postal address and promise nothing beyond it: no acceptance as your visiting address, no guarantee, no deadline.
- "Why my passport and my UBO?"
An address provider is a Wwft institution. Before the contract it must identify you and a company's UBO and establish the purpose, then keep the file five years (Wwft, art. 3, 5 and 33).
- "Is there a free address?"
Your own BRP home address needs no proof of use. A resident's declaration of consent works only for a residential address and cannot be withdrawn. A hotel never works.
- Your home address in the public register
A sole trader can shield the visiting address once a public postal address is registered; a BV cannot on a probable threat. VIES then shows another address; insurers or banks may ask for your lease.

Reception work alone is "domicile only", which DNB does not count as a trust service. EU rules announced for 10 July 2027 bring licensing or registration for address providers; the Dutch form is unpublished.
Frequently Asked Questions
Is it legal to buy a virtual office address from a company that is not a trust office?
Yes, for domicile only. DNB treats an address with reception work only as no trust service, and the provider is an institution under the Wwft, the Dutch anti-money-laundering act (art. 1a lid 4 onderdeel g). An address plus bookkeeping, tax returns, annual accounts or legal help for the same client or group needs a DNB licence.
Will the KVK accept a virtual office address as my business address?
Yes as a postal address, on a service contract signed by both parties. As the visiting address only on the KVK's tests: regular presence, a fitting designated use, and access to a workstation where a significant part, or most, of the work is done. We promise the postal address and nothing beyond it.
If the virtual office is only my postal address, what is my visiting address?
Usually your own home address as registered in the BRP, which needs no proof of use. A natural person's home address is never public in the register, and a sole trader can shield the visiting address once a public postal address is registered. A BV cannot shield on the ground of a probable threat.
Why does the provider ask for my passport, my UBO details and the purpose of my business?
The Wwft makes an address provider identify and verify you, identify a company's UBO and establish the purpose of the relationship (art. 3 lid 2). It may not start without this (art. 5 lid 1) and keeps the file five years after the relationship ends (art. 33 lid 3). The document list comes with the offer.
Can the same provider also keep my books or file my tax returns?
Not without a DNB licence. An address plus bookkeeping, annual accounts or tax-return work for the same client or its group is a trust service (art. 1 and art. 3 lid 4 onderdeel b Wtt 2018), and a trust office may not give tax advice (art. 17). A client who takes our address takes no other service from us.
Can I get a virtual address for free?
The routes that cost nothing are not a virtual office. Your own home address registered in the BRP needs no proof of use. A resident can give a declaration of consent, but only for an address with a residential function, and it cannot be withdrawn. The KVK never registers a hotel address as a visiting address.
Will banks accept a virtual address?
Some banks require a Dutch business address, says business.gov.nl, and a shielded visiting address can block opening an account online, says the KVK; the founder then visits the bank. No official figure on the acceptance of virtual addresses exists, and we make no claim about what a bank will decide.
I live abroad. Can I register a sole proprietorship with a Rotterdam address?
A sole trader staying under 4 months registers only with a Dutch visiting address, and our contract is sold as a postal address, so we do not say it meets that condition alone. The BSN comes through an RNI desk (non-EU nationals: Breda or Venlo), then DigiD, which is not sent by post abroad, then the KVK appointment.
How much does a virtual office cost?
On the state side: the KVK registration fee of EUR 85.15, paid once (2026, art. 5 Financiële regeling handelsregister 2019); changing or adding an address in My KVK is free; registering in the RNI is free. The contract with an address provider carries no state charge. Our own price depends on the offer and is on request.
Where is the KVK in Rotterdam, and do I need an appointment?
The KVK office in Rotterdam is at Blaak 40, 3011 TA Rotterdam, open Monday to Friday 8:30 to 17:00, and visits are by appointment only. You book with DigiD up to 8 weeks ahead, and any KVK office will do. The notary usually files a BV's registration, so its founders need not visit the KVK.
How fast must I report a move to or from the virtual office, and what does it cost?
Within one week (art. 20 lid 2 Hrw 2007), in My KVK, free of charge, with the new proof of use. A move of your private home address goes to the BRP first. The KVK passes a visiting-address change on to the Belastingdienst; a change of postal address you report to the Belastingdienst yourself.
Does my BV have to have its seat in Rotterdam to use a Rotterdam address?
The articles of a BV contain its seat, and the seat must lie in the Netherlands (art. 2:177 of the Civil Code). The statute says nothing more about how the seat relates to the address in the register, so this page states neither that the two must match nor that they may differ.
Does a Rotterdam address give me a VAT number?
The VAT number does not come from the address. The Belastingdienst provides it within 10 workdays after the KVK registration, without an application, says business.gov.nl. This page makes no statement on whether a Rotterdam address creates a VAT establishment, a permanent establishment or a tax residence for your business.
What may the provider do with my post?
Reception work only: putting calls through, forwarding unopened mail and parcels, scanning post and sending it on without comment, and providing meeting rooms, as the government lists it (Kamerstuk 36102 nr. 6). Nothing beyond that is done for the same client, because an address combined with other work is a licensed trust service.
Will the rules for address providers change?
Changes are announced for 2027. From 10 July 2027 the EU anti-money-laundering Regulation (EU) 2024/1624 treats a provider of a registered office or business address as a trust or company service provider, and Directive (EU) 2024/1640 requires such providers to be licensed or registered. The Dutch form of that duty has not been published.
